We are looking for a detail-oriented and proactive Creative Operations Coordinator to oversee and optimize web development initiatives across a diverse group of stakeholders. In this role, you will bridge the gap between creative media, technical systems and strategic communication. The role serves as a critical liaison between internal teams, a creative/media agency, and a web development partner—ensuring seamless execution, clear communication, and timely delivery of both new and ongoing website projects.
This position does not require hands-on coding, but a strong understanding of the software development lifecycle (SDLC), Agile methodologies, and DevOps environments is essential. The successful candidate will bring experience in managing digital or web-based projects, with a demonstrated ability to navigate fast-paced, cross-functional environments.
Creative Operations Coordinator (with IT & Communication Expertise)
Key Responsibilities
- Act as the central point of contact for internal stakeholders requesting digital projects or website updates across various platforms.
- Gather, document, and clarify business requirements and project objectives to ensure alignment with strategic goals.
- Manage and refine end-to-end creative and digital workflows, ensuring clarity in roles, responsibilities, and hand-offs.
- Coordinate closely with creative/media partners to ensure consistency in branding, design, and content strategy.
- Collaborate with web development partners to ensure accurate implementation, project timelines, and quality assurance.
- Oversee and coordinate third-party service providers (e.g., agencies, freelancers, technical partners) to ensure quality, performance, and alignment with project goals.
- Identify operational bottlenecks and implement process improvements to enhance overall efficiency.
- Maintain comprehensive project plans, timelines, and regular status updates to ensure transparency and accountability.
- Handle multiple concurrent projects in a deadline-driven environment, maintaining high attention to detail.
- Lead routine check-ins, stand-ups, and sprint reviews with relevant stakeholders.
- Proactively identify and resolve potential risks or roadblocks.
- Ensure all deliverables meet requirements, are delivered on time, and stay within budget.
- Provide regular updates and reports to leadership, including escalations when necessary.
- Support the continuous improvement of internal workflows related to intake, scoping, development, and delivery.
Qualifications
- Education or apprenticeship in Mediamatics, Digital Media, Multimedia Production, Communication Technology or similar field
- 3+ years of experience in project coordination, preferably in a digital, media agency, web development, or DevOps setting.
- Solid understanding of DevOps principles, Agile project management, and the website development lifecycle.
- Proficient in tools such as Adobe Creative Suite, HTML, CMS platforms, hosting infrastructure and basic IT systems
- Comfortable with cross-functional collaboration and managing multiple projects
- A proactive mindset, attention to detail and a passion for digital trends
- Proven experience collaborating with creative agencies and/or external development vendors.
- Proficient in project management platforms.
- Exceptional verbal and written communication skills.
- Fluency in English, both written and spoken, is required.
- Self-starter with a collaborative mindset and the ability to drive accountability across international teams.
